Important: TranslateMD provides AI-assisted translation to help you understand medical documents. It is NOT a substitute for certified medical translation for legal proceedings, insurance claims, or clinical decision-making. Always consult a qualified medical professional or certified translator when accuracy is critical.


1. What TranslateMD does

TranslateMD uses AI to translate medical documents between languages and healthcare systems — mapping procedure codes, drug names, notation systems, and coverage structures.

Our translations are designed to help healthcare professionals understand and work with foreign medical records. We aim for high accuracy, but AI translation is not perfect and should be used as a working aid, not a final authoritative source.

2. AI translation disclaimer

TranslateMD's translations:

  • Are produced by AI (Anthropic's Claude) combined with a medical knowledge base.
  • Have demonstrated approximately 91-95% accuracy on standard medical documents in testing.
  • May contain errors, especially for rare conditions, highly specialized terminology, or documents with poor scan quality.
  • Are not certified by any medical or legal authority.
  • Should not be used as the sole basis for clinical decisions without professional review.

Do not use TranslateMD output for:

  • Legal proceedings requiring certified translation.
  • Insurance claim submissions where certified translation is required.
  • Prescribing or administering medications without verification.
  • Any situation where a translation error could cause patient harm.

3. Who can use TranslateMD

You may use TranslateMD if you:

  • Are at least 18 years old.
  • Have a legitimate professional or personal reason to translate the documents you upload.
  • Agree to use the service only for lawful purposes.

4. Your responsibilities

When using TranslateMD, you agree to:

  • Upload only documents you have the right to share. You are responsible for ensuring you have appropriate authorization for any documents containing other people's medical information.
  • Not upload documents for the purpose of fraud, identity theft, or any illegal activity.
  • Not attempt to reverse-engineer, scrape, or abuse the service.
  • Keep your login credentials secure and not share them.
  • Notify us immediately at security@translatemd.io if you suspect unauthorized access to your account.

5. Payments and billing

Subscriptions: Paid plans are billed monthly or annually. Your subscription renews automatically unless you cancel.

Cancellation: You can cancel at any time from Account Settings. You'll retain access until the end of your current billing period.

Refunds: We offer a full refund within 7 days of your first payment if you're not satisfied. After that, refunds are considered case-by-case. Contact billing@translatemd.io.

Payment processor: All payments are handled by Stripe. We never store your card details.

Price changes: We'll give you at least 30 days' notice before changing subscription prices.

6. Data handling and retention

How we handle your data is described in our Privacy Policy. In summary:

  • Ephemeral mode: Documents are deleted immediately after translation.
  • History mode: Documents are stored encrypted until you delete them.
  • You can delete your account and all associated data at any time.
  • We do not use your documents to train AI models.

7. Service availability

We aim for high availability but cannot guarantee uninterrupted service. We may occasionally need to take the service down for maintenance or updates. We'll aim to schedule maintenance outside peak hours and notify you in advance for significant downtime.

We are not liable for losses caused by service outages or downtime.

8. Limitation of liability

To the maximum extent permitted by law, TranslateMD's total liability to you for any claims arising from your use of the service is limited to the amount you paid us in the 12 months before the claim.

We are not liable for:

  • Translation errors or inaccuracies in AI-generated output.
  • Clinical decisions made based on TranslateMD translations without professional review.
  • Indirect, incidental, or consequential damages.
  • Data loss due to circumstances beyond our reasonable control.

Nothing in these terms limits liability for fraud, death, or personal injury caused by negligence.

9. Intellectual property

TranslateMD and its underlying technology are owned by us. Using the service does not give you any ownership rights in our software, knowledge base, or trademarks.

You retain ownership of any documents you upload. By uploading documents, you grant us a limited license to process them solely to provide the translation service.

10. Account termination

We may suspend or terminate accounts that:

  • Violate these terms.
  • Are used for fraudulent or illegal activity.
  • Show signs of unauthorized access.

We'll aim to notify you before termination unless doing so would enable harm. You may appeal termination decisions by emailing legal@translatemd.io.

11. Changes to these terms

We may update these terms. For significant changes, we'll notify you by email at least 14 days before they take effect. Continuing to use the service after that date means you accept the new terms.

12. Governing law

These terms are governed by the laws of the United States. Any disputes will be resolved in the courts of the United States. If you're an EU resident, you may also have rights under EU consumer protection law.
